Terms of use

These terms govern your use of propsgarage.com and the services provided through it. Props Garage is a classifieds-style catalogue that helps asset owners, hirers, productions, photographers, event organisers and community groups find and contact one another. We do not own the listed assets and, unless we expressly agree otherwise in writing, we are not a party to any hire or other agreement between users.

1. Who we are and accepting these terms

The website is operated under the name Props Garage. You can contact us through our contact form.

By using the website, creating an account, submitting a listing or sending an enquiry, you agree to these terms. If you use Props Garage for a business or organisation, you confirm that you have authority to bind it. When creating an account or submitting a listing, you must confirm that you are at least 18 years old. You may not create an account, list an asset or enter into a hire arrangement if you are under 18.

2. What Props Garage does

We provide listing, search, moderation and enquiry tools. Listings are invitations to make contact, not offers that Props Garage accepts on an owner’s behalf. Availability, suitability, price and other listing information may change and must be confirmed directly with the owner.

Any resulting hire, sale, licence, performance, location or services agreement is between the relevant users. They are responsible for agreeing price, deposits, cancellation terms, transport, supervision, risk assessments, permits, licences, insurance, tax and payment arrangements. Props Garage does not process or guarantee user-to-user payments unless a separate written service expressly says otherwise.

Third-party infrastructure: we use external providers to operate the service. This includes Amazon Web Services (AWS) for cloud infrastructure, hosting and storage; Microsoft services for cloud, email, documents, storage and business administration; and Google services for reCAPTCHA, mapping, maps, geocoding, places, location and distance functions and consent-based analytics. Availability may therefore be affected by those providers.

Location and map results are approximate and must not be relied on as a survey, navigation instruction, transport quote or guarantee of distance. Use of Google mapping features is also subject to the applicable Google Maps/Google Earth Additional Terms and Google Privacy Policy.

AI-assisted tools: some features use OpenAI or other AI providers to analyse a website or submitted material and suggest listing fields, classifications, descriptions and images. AI output is generated assistance, not an independent verification, valuation, safety assessment or legal statement. It may be inaccurate, incomplete or unsuitable. You remain responsible for reviewing, correcting and approving every field before submission and must not submit confidential, sensitive or unnecessary personal information for AI processing.

3. Accounts and security

  • Provide accurate, current information and keep it updated.
  • Keep your password and account access secure and tell us promptly about suspected unauthorised use.
  • Do not create accounts using another person’s identity or use the service for someone else without authority.
  • You are responsible for activity carried out through your account unless it results from our failure to use reasonable care.

4. Listings and user content

You remain responsible for every listing, image, video, description, price, credit and other item you submit. You confirm that:

  • the information is honest, accurate, not misleading and kept up to date;
  • you own the asset or have authority to advertise and hire it;
  • you own the submitted content or have all permissions needed for us to use it;
  • the listing does not infringe intellectual property, privacy, publicity or other rights;
  • the asset and proposed use comply with applicable law and are not unsafe, prohibited or fraudulent; and
  • you will disclose material limitations, hazards, conditions, defects and usage restrictions to a prospective hirer.

You grant Props Garage a non-exclusive, worldwide, royalty-free licence to host, copy, resize, adapt for display, publish and promote submitted content for operating and marketing the service. This licence ends when the content is deleted, except for reasonable backup periods, material already shared with your permission, and records we must retain by law or for disputes.

Public publication: an approved listing is public. Its text and selected media may be viewed or shared by anyone and may be indexed, cached or previewed by search engines and third-party services. Removing a listing stops future display through our normal service, but we cannot guarantee the immediate removal of copies already cached, downloaded or lawfully shared by others.

Visible people and identifying marks: anything visible in submitted media may become public, including identifiable people, faces, names, vehicle registration numbers, logos, trade marks, branding, addresses, documents, private locations and other identifying details. Before submission, you must inspect the media, obscure anything that should not be public, and obtain any consent, licence or other permission required for publication. Your confirmation does not transfer responsibility to Props Garage or mean that we have independently cleared those rights.

If media includes an identifiable person or information relating to one, you must have a lawful and fair basis for publishing it and must take particular care with children, vulnerable people, private locations and sensitive information. Tell us promptly if content should be reviewed or removed because of a privacy, safety or rights concern.

5. Specialist and regulated assets

Vehicles, vessels, aircraft, weapons, armoury items, uniforms, locations, animals, performers and specialist equipment may require licences, certificates, competent operators, transport controls, security, risk assessments or specialist insurance. A listing’s publication is not certification that an asset is legal, authentic, roadworthy, airworthy, seaworthy, safe or suitable.

Owners and hirers must carry out their own checks and comply with all applicable firearms, offensive weapons, transport, aviation, maritime, health and safety, planning, child performance, animal welfare and other rules. Props Garage may request supporting evidence, restrict details, or refuse or remove a listing, but moderation does not transfer those responsibilities to us.

6. Enquiries and dealings between users

Private owner details are normally withheld from public pages. We may route an enquiry to the owner or allow direct contact where the listing says so. You may use contact details and enquiry content only to respond to the relevant genuine enquiry. Do not add another user to marketing lists or disclose their details without a lawful basis.

By publishing a listing, the owner asks Props Garage to receive, process and forward genuine enquiries about that listing using the owner's account contact details. This does not make private account details public unless the owner chooses to publish or disclose them. Owners may deactivate a listing to stop new listing enquiries, subject to reasonable processing time and any messages already sent.

Before entering an arrangement, users should verify identity, authority, asset condition, price, insurance and required documentation. Report suspected fraud, unsafe activity or misuse to us promptly. We may assist with communications or moderation, but we are not obliged to mediate contractual disputes.

7. Prohibited use

You must not:

  • break the law, facilitate harm, fraud, discrimination or infringement, or list prohibited items;
  • submit malicious code, scrape the service at scale, bypass access controls, probe security, or disrupt the website;
  • harvest personal information, send spam, make false enquiries or impersonate another person;
  • circumvent moderation or re-submit content we have removed without permission; or
  • use Props Garage content, branding or data to create a competing database without written permission.

8. Moderation, suspension and removal

Listings and events may be reviewed before or after publication. We may edit formatting, request evidence, reject, hide, de-feature or remove content, restrict functionality, or suspend or close an account where reasonably necessary to enforce these terms, protect users, comply with law or respond to risk. Where appropriate, we will explain the reason and provide a reasonable opportunity to correct an issue.

You may stop using the service or ask us to close your account. Deactivating a listing removes it from normal public availability but does not necessarily erase records immediately; our Privacy Policy explains retention.

9. Fees and changes to the service

Standard listings and community event submissions are currently free. We will clearly disclose any charge before you incur it. We may improve, change, suspend or discontinue parts of the service. Where a material change adversely affects an ongoing paid service, any specific paid-service terms and your statutory rights will apply.

10. Intellectual property

Except for user content, the website, software, design, database selection, text, logos and branding belong to Props Garage or its licensors. You may use the website for its intended purpose and may share links to public listings. No other right is granted.

If you believe content infringes your rights, contact us with the relevant URL, a description of the work or right, the basis of your complaint and your contact details.

11. Availability and liability

We use reasonable care in providing the service, but we do not promise uninterrupted or error-free availability and cannot independently verify every user, listing or claim. Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or rights that consumers cannot waive.

If you use Props Garage as a consumer, we are responsible for foreseeable loss caused by our breach of these terms or failure to use reasonable care, but not loss that was not foreseeable, business loss, or loss caused by a contract or dispute between users. If you use Props Garage for business purposes, we are not liable for indirect or consequential loss, loss of profit, revenue, business, opportunity, goodwill or data, except where such exclusion is prohibited by law.

12. Changes to these terms

We may update these terms for legal, security or service changes. The date above shows the latest revision. We will give reasonable notice of material changes where practical. Changes do not apply retrospectively to a user-to-user agreement already concluded.

Mobile application and image access

These terms also apply to the Props Garage mobile application. Accounts are individual and must not be shared. Public previews are provided for browsing the catalogue. Original images require specific authorisation; access does not transfer copyright or grant permission to copy or reuse material.

Credit to Props Garage does not replace permission from or credit to the asset or collection owner. Academic use is not automatically non-commercial. Restricted material remains subject to its underlying rights and licence conditions. Obtain the copyright holder’s express permission before copying, downloading, reproducing or reusing any listing image.

13. Governing law and disputes

These terms are governed by the law of England and Wales. If you are a consumer resident elsewhere in the UK, you retain any mandatory protections of your home jurisdiction and may bring proceedings in the courts available to you under applicable law. Business users agree that the courts of England and Wales have exclusive jurisdiction.
